Sage Dental Management is a leading, rapidly growing Dental Service Organization (DSO) committed to innovation, excellence, and patient-centered care. The Executive Assistant will provide high-level administrative support to multiple members of the leadership team, ensuring efficient operations and effective communication across the enterprise. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
· Executive Calendar Management, as assigned or requested: Manage and prioritize complex calendars, schedule meetings and appointments, and proactively resolve conflicts and optimize executive time using sound judgement with minimal supervision.
· Communication Hub: Act as the primary point of contact and liaison between assigned executives and internal/external stakeholders. Screen calls, emails, and correspondence, ensuring prompt responses and routing of inquiries.
· Travel and Logistics Coordination: Arrange comprehensive travel itineraries for executives and multiple departments, as assigned (flights, accommodations, transportation). Manage the expense reporting process for assigned executive(s) and their teams, as needed.
· Meeting Support: Organize and coordinate meetings, conferences, and company events, including logistics, preparing materials, taking minutes, and tracking action items.
· Project Assistance: Support special projects, conduct research, and assist with data analysis as needed.
· Confidentiality: Handle sensitive information and confidential matters with the highest levels of discretion and integrity.
· May be asked to do regular or ad hoc reporting from internal systems.
· Assist with setting up orientation and onboarding of new executives and team members.
· Other duties as assigned from time to time.
Bachelor’s degree in business administration or equivalent experience.
· 7+ years of experience supporting one or more senior executives, preferably in the healthcare industry.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar and project management.
· Exceptional ability to manage multiple priorities, work under pressure, meet tight deadlines, and maintain meticulous attention to detail.
· Excellent written and verbal communication skills for effective interaction with all levels of staff and external stakeholders in the English language.
· Strong problem-solving skills, proactive nature, adaptability, sound judgement, emotional intelligence, and the ability to work both independently and collaboratively.
